The Office Administrator helps St. James’ Episcopal Church – a progressive, inclusive, Christian church – fulfill its mission by leading the day-to-day administration, focusing on communications and operations. Specifically, the candidate for this position should possess a high level of competency in oral and written communication as well as proficiency in editing written material. At a minimum, the individual should be proficient with Microsoft Word and have used a professional email platform (Mail Chimp, Constant Contact, etc.). Experience with other Microsoft Office suite programs including Publisher and Excel, as well as previous use of a membership tracking program, would be a plus.
The candidate should engage productively with parishioners, vendors, church employees and volunteers, those we serve, and the community at large. Reliability and good boundary keeping are essential as is the ability to work independently and solve problems. Being an Episcopalian is not a job requirement. Prior employment or experience with a faith community or not-for-profit with significant volunteer interaction is a plus.
Summary of Duties and Responsibilities
Communications:
• Answers phones and engages with outside callers and parishioners.
• Creates, edits, and emails the weekly email newsletter to parish.
• Appropriately sorts and distributes incoming mail and provides stamps and labels for outgoing projects/mailings.
Administration:
• Creates weekly bulletins.
• Assists rector and vestry (leadership) with record-keeping requirements for civil and ecclesiastical authorities.
• Maintains parish database. Updates the parish directory.
Operations:
• Controls, tracks and/or organizes: the distribution of keys, agreements for internal and external users of the buildings, and communication with groups using the space at St. James’.
• Communicates operational and cleaning needs to the custodian and/or the leadership.
• Purchases office supplies and monitors the operation of the copier.
This position is 12 hours per week, on-site position, with an hourly pay of $22.03. The preferred time would be 9-12 four weekdays, but 4 hours on three days a week is possible. as would be flexibility into the afternoon. This hourly position would include paid sick time (at the minimum required by Washington State) and St. James would provide the employer’s portion of FICA/Medicare, Worker’s Compensation payments, and state-required programs.
